The challenge

Shift attendance timesheets were transcribed by hand. And validating that information was so costly that staff worked additional shifts dedicated solely to validation: matching names, reconciling hours, checking supporting documents.

Even then it wasn’t enough. Review was done by sampling, and the company paid shifts that had never been validated. Transcription errors, mismatched names and misrecorded hours surfaced late — or never.

The solution

We automated the full timesheet cycle:

  • Automatic transcription of attendance timesheets, no manual data entry.
  • Validation of documents and names against the company’s official roster.
  • Shift analysis made easy: irregularities, inconsistencies and exceptions are flagged for review.
  • Payroll sheet generation from information that has already been validated.

The team stopped transcribing and cross-checking: today it only handles the exceptions the system flags.
