Contract renewals: zero unwanted automatic renewals

Concept under validation: alerts and a decision calendar on top of the contract matrix so no automatic renewal goes unnoticed.

The challenge

Many service contracts renew on their own if nobody revokes them in time. The information to prevent it exists — the automatic renewal clause, the next renewal date, the maximum revocation notice, the expiration of the related policies — but it lives buried inside each PDF. Without a system that warns in advance, the deadline passes and the contract renews for another year without anyone having decided it. And cancelling late is expensive: another year of a service no longer needed, or an expired policy nobody renewed.

The proposed solution

An extension of our AI contract matrix, already in production as a real case:

  • On top of the fields already extracted — automatic renewal, next renewal, maximum revocation notice, policy expiration — we build automatic alerts with the lead time each contract requires.
  • A decision calendar shows which contracts require a decision, when the revocation window closes and who is responsible.
  • Automatic escalation if the decision is not made before the critical date.

Expected results

Preliminary figures, subject to the ongoing validation:

  • 0 unwanted automatic renewals — the concept’s target.
  • 100% of contracts with active expiration alerts.
  • Every renewal becomes an informed decision, not a calendar accident.
