The challenge
Supplier contracts lived in scattered PDFs. There was no consolidated view of what had been signed: which contracts required insurance policies, which renewed automatically, when the window to terminate expired.
The consequences were silent: automatic renewals and termination deadlines went unnoticed. A contract would renew itself, annual increase included, and the company found out when there was nothing left to negotiate.
The solution
The company loaded its supplier contracts and the solution built a control matrix, extracting from each contract fields such as:
- Company and contract purpose.
- Insurance policies, and whether the contract includes one (yes/no).
- Start date, end date, automatic renewal and next renewal.
- Maximum deadline to terminate the contract.
- Annual increase percentage and exit clause.
- Whether it contains SLAs, and an SLA summary.
More than 13 fields per contract, extracted with AI and consolidated into a single matrix the company can filter, sort and audit.
The results
- 100% of contracts are now in the control matrix.
- Automatic renewals and termination deadlines no longer go unnoticed: the company decides in time whether to renew, renegotiate or walk away.
- Building the matrix went from days of manual reading to hours.

With a living matrix in place, the natural next step: automatic alerts ahead of every termination and renewal window, and extending the same pattern to other contracts — customers, leases — with the fields each type requires.
